Webfleet: keeping pace with tachograph changes
Fleet management specialist Webfleet has described how tachograph management software can help operators fulfil their responsibilities in an increasingly complex compliance landscape.
“Tachographs have long been a cornerstone of fleet compliance, ensuring drivers keep within regulated hours and helping to maintain road safety,” said Annick Renoux, VP of Webfleet Europe.
“But their role is about to expand. From 1 July 2026, new rules will require light commercial vehicles weighing between 2.5 and 3.5 tonnes that are used for international hire and reward journeys to be fitted with a Smart Tachograph Version Two (SMT2).
“The rule applies to cross-border journeys where goods are carried commercially. Vehicles used solely within the UK are not affected by this change.
“This development – implemented under the AETR rules, which the UK applies to international road transport and which reflect the EU Mobility Package requirements – brings a new group of operators into scope. For van and LCV fleets engaged in cross-border work, tachograph management will soon become a compliance essential, not just a matter for heavy goods vehicles.”
The requirement comes alongside the broader rollout of SMT2 across new commercial vehicles, explains Annick.
“With enhanced security and broader data capture, SMT2 is designed to strengthen enforcement and reduce tampering risks. While this supports safer roads, it also adds to the responsibilities of operators – and underscores why manual processes are increasingly unsustainable.
“This is where tachograph management software proves its value. Automated systems take care of downloading, archiving and analysing data, replacing time-consuming manual tasks.
“With solutions such as Webfleet Tachograph Manager, information can be accessed remotely and stored securely, reducing administrative burden while keeping fleets audit ready.
“Flexibility is another major advantage. Remote downloads mean drivers no longer need to be physically present for data retrieval, keeping vehicles on the road and ensuring tachograph data is always up to date. For fleets operating to tight schedules, this capability has a direct impact on productivity.
“Crucially, advanced systems also deliver actionable insights. Real-time infringement alerts, deadline managers and clear compliance reporting help operators prevent penalties, while also supporting better planning and healthier working conditions for drivers.
“Webfleet’s daily download option even ensures managers can access the latest driver card data for payroll or HR needs at short notice.”
Independent recognition is raising confidence too, Annick adds.
“The DVSA has accredited Webfleet Tachograph Manager as part of its Earned Recognition scheme. Fleets that participate can share KPI reports directly with the DVSA, reducing the likelihood of roadside stops and reinforcing compliance credentials.
“As the scope of tachograph legislation widens, so too must operators’ approach. Effective tachograph management is not simply about ticking a regulatory box, it’s about using technology to safeguard drivers, streamline operations and stay ahead of change.”
